ESP LAC 2023 Session proposal submission form

Thank you for your interest in hosting a session during the ESP regional  conference in Chile from 6-10 November 2023. The deadline for the session proposal submission is 1 April 2023.

Through this form, you can submit your session proposal. The conference scientific committee will review your session proposal. We aim to confirm your session before 15 April. If your session is reviewed positively, we will send you session host guidelines asap.

Please note that as a host of a session, you will be required to review abstracts submitted to your session and will have to engage in some other responsibilities in order to make your session and the conference successful.

Requirements

Relation of session to ESP

In order to embed ESP conference sessions within the ESP structure of Working Groups and Regional Chapters, we would like to know if and how your proposed session relates to this structure. This will help to improve the integration between the activity of our members offline and online through the conference and website, and further strengthen the network.

To ensure a successful hybrid conference the conference scientific committee have prepared some rules to be met for both the organization and for the realization of the session:

  • The sessions can be organized by one or more people.
  • At least one person must act as the main host.
  • All hosts and co-hosts must be registered at the conference within the given deadlines.
  • People indicated as hosts and/or co-hots who have not registered at the conference within the established deadlines, will not be included in the final session’s description.
  • At least one of the hosts must be physically present in the respective room throughout the session to act as a moderator. This information should be included in the session proposal.
  • Sessions cannot be moderated virtually.
  • Sessions facing last-minute difficulties meeting the requirement of a face-to-face moderator must inform this situation to the conference organizers in due time to be assigned a face-to-face moderator.
  • There are 2 types of sessions:

- Hybrid sessions, that cannot be moderated virtually.

- Online sessions, where all hosts and participants will be online.
